Two things decide whether a SharePoint deployment thrives or quietly rots: how the information is structured, and how disciplined the permissions are. We settle both on paper before a single site gets created, because retrofitting either one across a live tenant is painful and expensive.

Information architecture

    Sites go up following the signed-off design, content comes across in waves rather than one weekend, and teams are onboarded in sequence. Search tuning deliberately waits until real content is present, because tuning against an empty tenant tells you nothing.

    Day to day administration, permissions reviewed on a schedule rather than after an incident, content governance maintained, search analytics read by somebody, a health report each month and a governance review each quarter.

Common questions

Microsoft SharePoint, frequently asked.

Because four separate things depend on it: permissions, search, retention and Copilot. A flat tenant built around one enormous site collection stops being usable somewhere around fifty people, while a properly structured one carries thousands without strain. Everything else in the platform flows from this decision, which is why it comes first rather than last.

In three phases: audit the source system, classify what is actually there, then move it in waves. Tooling is ShareGate or the Microsoft migration tooling depending on where the content is coming from. On permissions you have a genuine choice, either preserving what exists or resetting to the new structure, and which is right depends entirely on how healthy your current permissions are. Deltas are captured throughout so the final cutover is incremental rather than a big bang.

In almost every case, yes. There is one honest exception: very large unstructured archives, where cloud storage costs more than keeping the disks you already own. For those we sometimes recommend leaving the archive where it is and indexing the metadata instead. Everything else a file server is doing is served better by SharePoint alongside personal cloud storage.

Behind every team in Teams there is a SharePoint site, whether anybody planned it or not. That is exactly how organizations end up with thousands of orphaned, ungoverned sites nobody can account for. We design the architecture so those sites belong to the wider structure from the outset, with channels, files and pages joined up rather than accumulating separately.

Understand the mechanism first: Copilot inherits whatever permissions already exist, so anything a person can technically reach is something Copilot may surface to them in an answer. That makes SharePoint hygiene a prerequisite rather than a nice-to-have. Permissions audited, oversharing remediated, sensitivity labels applied, retention enforced. It is no accident that most Copilot rollouts begin as a SharePoint engagement.

All the major platforms, yes. Box and Dropbox are routine at this point. Google Drive takes noticeably more care because its permission model does not map cleanly. We translate permissions as part of the migration, with automatic conversion handling the common patterns and manual triage covering whatever does not fit, rather than pretending the automation catches everything.

Audit what exists, identify where content is exposed more widely than anybody intended, design a group-based model to replace it, then remediate at scale through scripting rather than clicking. Expect the audit to be uncomfortable: most clients arrive carrying hundreds of points where inheritance was broken by somebody solving a problem quickly. We close those and then stop them recurring through sharing policy.

We can, and it is a good proportion of what we do. The work is consistent across takeovers: cleaning up the architecture, remediating permissions, tuning search so it returns something, and getting retention actually enforced. You receive a written remediation plan first, then we execute it against a fixed timeline rather than an open-ended engagement.
