What we manage

Six Exchange disciplines, one operational team.

Exchange is mature; tuning it for your environment is what separates a generic deployment from a working email platform.

Mailbox lifecycle

Provisioning, deprovisioning, archiving, retention, litigation hold. Joiner-mover-leaver workflows automated through Entra ID + Exchange policies.

Anti-phishing & anti-spam

Exchange Online Protection (EOP) baseline plus Defender for Office 365 advanced filtering. Tuned for your email patterns, false-positives suppressed.

DKIM, SPF, DMARC

Email authentication standards configured per domain. DMARC reporting analysed weekly, drift detected and remediated before mail-flow disruption.

Calendar & resource management

Room mailboxes, equipment mailboxes, shared mailboxes. Calendar permission discipline, delegate management, EWS-aware integrations.

Hybrid configurations

Hybrid Exchange (cloud + on-prem) for migrations or compliance. Stub-and-archive, journal-based archiving, regulatory mail retention.

Mail flow visibility

Mail-flow reports, message-trace analysis, bounce-back diagnostics, transport-rule auditing. Mail-flow incidents triaged in minutes.

Why GR IT for Exchange

Four reasons clients pick us for the management.

Exchange is operational work that demands attention to detail. The discipline is consistent monitoring, tuning, and rapid incident response.

500+ Exchange tenants

Pattern recognition matters. We have run Exchange across SMEs, financial services, healthcare, and education. Common mail-flow issues, common filter quirks.

Mail-flow incidents in minutes

Mail-flow incidents (mass NDRs, blocking, blacklisting) get same-hour response. Our SOC monitors EOP and Defender alerts continuously.

Hybrid expertise

Cloud-only, hybrid, and pure on-prem Exchange engagements. Migration work routine; many clients arrive on Exchange 2013/2016/2019 needing modernisation.

US-based engineers

Senior Exchange engineers based in the United States. Same time zone as your help desk, same business context as your stakeholders.

Industries we serve

Exchange engagements by sector.

Six sectors where we operate Exchange or have run major migrations.

Professional services

Law firms, accountancies, consultancies. Matter-based shared mailboxes, ethical-wall-aware retention, signature management for regulatory compliance.

Financial services

SEC- and NYDFS-regulated firms with regulator-mandated mail retention, journal-based archive, audit-trail mail flow, signed/encrypted external communications.

Healthcare

Hospitals, clinics, medical groups with PHI-aware mail filtering, patient-record-system integration, HIPAA-compliant retention.

Tech and SaaS

SaaS companies with high-volume transactional mail (alerts, customer notifications), DKIM/SPF/DMARC discipline, custom transport rules.

Retail and operations

Retail groups with multi-store mail flow, supplier-comms templates, customer-service mailboxes, transport-rule routing for support escalation.

Education

Schools and universities with student/parent/staff mail segregation, age-appropriate filtering, exam-period mail-flow controls.

Exchange Online vs on-prem Exchange

Why most clients are off on-prem by now.

How an engagement runs

From mail-flow audit to managed Exchange operations.

Every Exchange engagement runs the same path. Documented, evidenced, deliverable on a fixed timeline.
  1. 1

    Audit

    1-2 weeks

Mail-flow analysis, mailbox inventory, current-state assessment, DNS posture (DKIM/SPF/DMARC). Output: deployment or migration plan.

  2. 2

    Configure

    2-4 weeks

Tenant configured, domain authentication enforced, anti-phishing tuned, transport rules deployed, retention policies activated.

  3. 3

    Migrate

    2-8 weeks (if applicable)

Cutover migration or hybrid coexistence, mailbox waves coordinated to minimise user impact, post-migration triage.

  4. 4

    Operate

    Continuous

Monitoring, mail-flow incident response, ongoing tuning, monthly reports, quarterly reviews. Same team that deployed operates.

We had Exchange 2016 on-prem and the upgrade kept getting deferred for budget reasons. GR IT planned a phased migration to Exchange Online, ran the cutover over three weekends across our 220 mailboxes, and we have not had a mail-flow issue since. Spam volume dropped 80%, our regulator-required journal archive is finally working, and we no longer maintain Exchange servers.
