How an engagement runs

From mail-flow audit to managed Exchange operations.

Four stages on every Exchange engagement, each documented, each evidenced, and each delivered against a timeline agreed before we start.

    Audit

    1-2 weeks

    We analyze how mail actually flows today, inventory every mailbox, assess the current state honestly, and check where DKIM, SPF and DMARC really stand in DNS. What comes out is a deployment or migration plan.

    Configure

    2-4 weeks

    The tenant gets configured, domain authentication is enforced rather than merely published, anti-phishing is tuned to your traffic, transport rules go in and retention policies are switched on.

  3. 3

    Migrate

    2-8 weeks (if applicable)

    Either a cutover or a period of hybrid coexistence, with mailboxes moved in waves timed to keep disruption off your users, and triage standing by once the last wave lands.

    Operate

    Continuous

    Monitoring, incident response when mail flow breaks, tuning that continues, a report each month and a review each quarter. The people running it are the people who built it.

Outlook & Exchange, frequently asked.

It works in three layers. Exchange Online Protection provides the baseline anti-spam and basic anti-phishing. Defender for Office 365 adds the advanced anti-phishing, attachment sandboxing and link rewriting. On top of both sit transport rules written for the patterns in your own mail. After tuning, most clients see phishing reaching the inbox fall by somewhere between seventy and ninety percent.

This comes up regularly with regulated clients and with anyone carrying very large mailboxes. A hybrid deployment runs the cloud and your own servers side by side, and users in either place see one unified mail experience. We manage the whole hybrid configuration, Edge Transport servers included, keep the hybrid agreement renewed, and map the route to cloud-only when you are ready to take it.

Under about 150 mailboxes we do a cutover, which fits inside a single weekend. Above that it becomes a staged or hybrid migration, with mailboxes moving in waves across several weeks. The pre-migration assessment is where the awkward things surface, oversized mailboxes, public folders nobody has touched in years, retention policies that contradict each other. The migration itself is largely automated once those are dealt with.

DMARC comes as standard on the Professional and Enterprise tiers, and it is rolled out in phases rather than switched on. Sixty days in monitor mode, thirty in quarantine, then reject for production. Throughout that we read the DMARC reports weekly and fix alignment problems before they turn into mail nobody receives.

Both are routine work. Importing a PST happens through network upload or by shipping drives, depending on the volume involved in the migration. Exporting one goes through eDiscovery, typically for a legal hold or a subject access request. Where the matter is sensitive, we coordinate the data handling directly with your legal team.

Where a regulator sets your retention, whether that is SOX, NYDFS Part 500 or another financial obligation, journaling is the mechanism. We configure the journal mailbox and integrate whichever archive vendor you use, which in practice is usually Veritas, Smarsh or Mimecast Journal. The chain of custody gets documented so an auditor can follow it.

Regularly. The work in a takeover tends to be the same four things: tuning mail flow, rebuilding anti-phishing properly, auditing whatever hybrid coexistence is in place, and clearing up retention policies that have accumulated. Four to six weeks covers most of them, with mail-flow improvements you can measure rather than assert.

Outlook goes onto iOS and Android through Intune, with conditional access insisting the device is compliant before sign-in succeeds. App protection policies then stop corporate data being copied out into apps nobody manages. Mobile policy is part of the standard engagement rather than an extra.
